Vera Rosenberg Travel, LLC ("Agency," "we," "us," or "our") respects your privacy. This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and your choices and rights. It applies to verarosenbergtravel.com and to our travel planning and booking services.

By using our website or engaging our services, you agree to this Privacy Policy. If you do not agree, please do not use our website or services.

Information you provide directly

When you submit our contact form, email us, book travel through us, or otherwise communicate with us, we may collect:

  • Name and contact information (email, phone, mailing address)
  • Family composition relevant to your trip (number of travelers, ages, relationships)
  • Travel preferences, dates, destinations, and budget
  • Accessibility, sensory, dietary, medical, or other accommodation needs you choose to share
  • Passport details, dates of birth, and other identification required by travel suppliers
  • Frequent flyer numbers, hotel loyalty memberships, and travel insurance details
  • Payment information processed by travel suppliers or payment processors (we do not store full credit card numbers on our systems)
  • Communications between us, including emails, messages, and notes from calls

Information collected automatically

When you visit our website, we may automatically collect limited technical information including IP address, browser type, device type, pages visited, and referring URL. This information is used to understand site performance and is not used to identify you personally.

Information from third parties

We may receive information about you from travel suppliers (e.g., hotel confirmations, booking references) and from Fora Travel as part of our affiliated agency relationship.

  • Research, propose, and book travel arrangements with suppliers on your behalf

3. How We Share Your Information

We share your information only as necessary to provide the services you've requested. We do not sell your personal information.

Travel suppliers

To book and manage your travel, we share necessary information with airlines, hotels, cruise lines, tour operators, ground transportation providers, travel insurance providers, and similar suppliers. Each supplier handles your information under their own privacy policies.

Host agency

We share booking and client information with Fora Travel, Inc., our host agency, as part of our affiliated agency relationship. Fora Travel processes information under its own privacy policy.

Service providers

We use third-party services to operate our business, including email providers, contact form processors (currently Formspree), payment processors, and customer relationship management (CRM) tools. These providers access information only as needed to perform their services.

Legal and safety

We may disclose information if required by law, subpoena, or court order, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.

Business transfers

If Vera Rosenberg Travel, LLC is sold, merged, or transfers assets, your information may be transferred as part of that transaction. We will notify you of any such change.

4. Sensitive Information

Travel planning sometimes involves sensitive information, including medical conditions, dietary restrictions, accessibility needs, and information about minors. We treat this information with care and share it with suppliers only as needed to fulfill your trip requirements or accommodations you've requested.

If you share information about minor travelers in your household, you confirm that you have authority to do so on their behalf.

We retain your personal information for as long as needed to provide our services, maintain business records, comply with legal and tax obligations, and resolve disputes. Retention periods vary by information type and legal requirement. Booking records are typically retained for at least seven years for tax and accounting purposes.

You may request deletion of your information at any time, subject to legal retention requirements (see Your Rights below).

6. Data Security

We use reasonable administrative, technical, and physical safeguards to protect your information. However, no method of transmission or storage is completely secure. We cannot guarantee absolute security, and you share information with us at your own risk.

To help protect your information: never email full credit card numbers, passport numbers, or other sensitive identifiers unless requested through a secure channel. We will provide a secure method to share sensitive information when needed.

7. Your Rights and Choices

Depending on where you live, you may have rights regarding your personal information. These may include:

  • Access: Request a copy of personal information we hold about you
  • Correction: Ask us to correct inaccurate or incomplete information
  • Deletion: Request deletion of your information, subject to legal retention requirements
  • Restriction: Ask us to limit how we use your information

  • Opt out: Unsubscribe from marketing communications at any time (currently we do not send marketing emails; transactional communications about active bookings will continue as needed)

8. California Residents

If you are a California resident, the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA) give you specific rights, including the rights listed above plus the right to know what personal information we collect and the categories of third parties we share it with. We have described both throughout this Privacy Policy.

We do not sell or share personal information for cross-context behavioral advertising. We have not done so in the past 12 months.

9. International Travelers

Our services involve booking travel internationally, which means your information may be transferred to and processed in countries outside your country of residence, including the United States. These countries may have different data protection laws. By using our services, you consent to such transfers.

10. Children's Privacy

Our website and services are directed to adults planning travel, including travel for their families. We do not knowingly collect personal information directly from children under 13. Information about minor travelers in your household is collected from you, the adult booking the trip.

If you believe a child under 13 has provided personal information directly to us, please contact us and we will delete that information.

11. Cookies and Tracking

Our website uses minimal cookies, primarily for basic site functionality. We do not currently use advertising cookies or third-party tracking pixels. If this changes, we will update this Privacy Policy.

You can control cookies through your browser settings. Disabling cookies may affect some site features.

12. Third-Party Links

Our website and emails may link to third-party websites (travel suppliers, partner sites, social media, etc.). We are not responsible for the privacy practices of these third parties. Review their privacy policies before sharing information.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the most recent revision. Material changes will be communicated through our website or by email when appropriate. Continued use of our services after changes are posted constitutes acceptance of the revised Privacy Policy.
